Area Directors Normally in charge of a specified area or region. The Area Director has all of the same responsibilities of the Local Representative with the exception that the Area Director recruits and monitors Local Representatives. Local Representatives Area includes everything in a 120 mile radius LOCAL REPRESENTATIVEOVERVIEW OF RESPONSIBILITIES
1. Keep in close contact with your Area Director.
2. Aid in locating Host Families. 3. If prospective families are found, contact your Area Director with all pertinent information that you have. 4. After your Area Director has checked with the appropriate school(s), you will be asked to make a Home Visit. You will be provided with a Home Interview Form to complete at that time. This information is then forwarded on to your Area Director.
5. When your Area Director notifies you of a host family’s acceptance, you will be required to provide a Host Family Orientation.
6. After the student’s arrival, you will be required to provide a post-arrival Student Orientation, establishing your role as Local Representative.
7. To assist with adjustment, you will be required to make regular monthly phone calls and visits (monthly) to provide both separate and joint opportunities for the host family and student to discuss any concerns. 8. For students interested in traveling abroad, your Area Director will notify you when a Personal Student Interview should be scheduled. This information is to be forwarded to your Area Director for review. 9. Your Area Director will notify you when an “Introduction to Foreign Exchange” for the outbound student and natural parents is needed to provide program information.
10. When a student is accepted for travel abroad, a pre-departure orientation is required to be completed by the Local Representative.
LOCAL REPRESENTATIVE
POSITION DESCRIPTION
Local Representatives are the facilitators for the International Fellowship Exchange Student Program. Intercultural Student exchange is made possible through the promotion and recruitment efforts of Local Representatives who link host families and schools with foreign students interested in living and studying abroad in the United States or Canada. Local Representatives also assist in the recruitment of U.S./Canadian students interested in the outbound program to foreign countries. Local Representatives are our visible link in the community, working with schools, students and families. Their recommendations and judgment are critical to the success of the International Fellowship Exchange Student Program. The Local Representative reports to the International Fellowship Area Director for their specific region.
Local Representatives serve in a voluntary capacity and are not on a salary basis. International Fellowship does however provide a per placement fee for each student successfully placed and reimbursement for pre-approved expenses.
Position Responsibilities
1. Complete an orientation session provided by your Area Director.
2. Utilize local community contacts to develop and implement plans to recruit potential host families and outbound students, with the assistance of your Area Director. Present the Program to the local media, civic groups, churches and the community at large.
3. Develop relationship with school official to identify student and host family recruitment opportunities.
4. Conduct personal student interviews for outbound students, sending completed forms to headquarters for review to determine suitability of student to travel. Your assessment should include comments on language fluency.
5. When instructed by International Fellowship that a student may be a suitable candidate, assist outbound applicants by scheduling an “Introduction to Foreign Exchange”, providing program information and guidance in the completion of the application, and in obtaining necessary documents (if needed).
6. Upon notification by International Fellowship of final acceptance, schedule and provide pre-departure student orientation one to two months prior to departure, using the Student Handbook as a guideline.
7. Conduct home screening interviews for prospective host families, upon notification from International Fellowship, using the Host Family Interview Forms as a guideline. Complete the Home Visit/Screening form for submission to the headquarters’ office for final review.
8. Upon notification of a host family’s final acceptance by International Fellowship, schedule a host family orientation to be completed prior to the student’s arrival. The Host Family Handbook serves as a guideline for discussion of all International Fellowship rules and regulations relating to host families.
9. For the inbound student, conduct a post arrival orientation within two weeks of the student’s arrival in the host home, using the Student Handbook as a guideline.
10. Assist the Area Director in providing support and counsel for the host families and students throughout the duration of the program.
11. Personally meet with or telephone each host family and student at least once a month, or more frequently if needed, to evaluate and assist in adjustment. Notify your Area Director of any significant concerns. Any violations of Federal, State or Local Laws, including International Fellowship rules and regulations must be reported by phone immediately, followed by a written report.
12. Inform International Fellowship Headquarters immediately of any emergency situation via the 24-hour emergency phone number; which is 1-800-647-8839.
13. Assist the Area Director to secure a replacement host family in the student’s same school district if necessary and possible.
14. Conduct student re-entry meetings several weeks prior to departure to their homeland. Complete a Local Representative Final Evaluation Form, which is to be mailed to your Area Director within one week of your student’s departure. Provide any news/photos of your student to International Fellowship for publicity purposes. Newspaper articles, pictures and special achievement information is great to send in throughout the student’s program for the monthly newsletter online at www.internationalfellowship.org
Foreign Chapter Directors
Position Description
Foreign Chapter Directors are local nationals who are the facilitators of the International Fellowship exchange student program in their respective country. They assist International Fellowship by recruiting students who wish to live with a host family and study abroad. Intercultural student exchange is made possible through the promotion and recruitment efforts of Foreign Chapter Directors. For students interested in traveling to countries where an International Fellowship foreign chapter exists, the Foreign Chapter Director is responsible for linking students with schools and recruiting host families.
The Foreign Chapter Director reports ongoing chapter activities to International Fellowship Headquarters on a monthly basis (more frequently, if needed) and agrees to abide by all International Fellowship rules and regulations while recruiting students and hosting families on behalf of the recruiting organization. The Westfield Office must first approve all foreign language materials used in recruitment efforts.
Foreign Chapter Directors are paid a fee for services according to the chapter activity. They are also reimbursed for pre-approved expenses in accordance with the chapter activity.
POSITION RESPONSIBILITIES
1. Promote I.F intercultural student exchange programs in respective foreign chapter to obtain qualified applicants.
2. Conduct initial student/natural parent interview, determining suitability for acceptance according to established student selection criteria and personal interview guidelines. Obtain signatures on acknowledgment form for receipt of Student Rules of Conduct and Department of State Regulations.
3. Provide completed applications, references, recommendations, school transcripts, language proficiency test and all other required materials to I.F for review and final approval.
4. Notify student/natural parents of acceptance. Provide information on host family placement abroad and travel itinerary. Assist students to obtain necessary travel documents.
5. Conduct suitable pre-departure student orientations which depending on the number of students traveling, can vary from a formal gathering to individual conferences with the Foreign Director. Include information on host family, school, community and culture of the student's selected host country as well as a review of I.F rules and regulations, using the Student Handbook as a guideline. The Foreign Director must obtain a signed acknowledgment of attendance that is sent to the I.F Headquarters in Westfield, New York.
6. For students traveling outbound to the Foreign Chapter, identify prospective host families and conduct home screenings, using Host Family selection criteria and interview guidelines. Complete Home Screening Form for submission to the Westfield Office.
7. Conduct host family orientations prior to the students' arrival, using the Host Family Handbook as a guideline. Obtain host parent signatures acknowledging receipt of Student Rule of Conduct/Department of State Regulations.
8. Conduct post-arrival student orientations within one to two weeks of student's arrival in the host country, providing information as stated in #5.
9. Assist student and host family throughout program stay, contacting at least monthly or more frequently if difficulties arise. Any violations of laws or I.F rules and regulations must be reported by phone, followed by a written report, to Headquarters Office in Westfield, New York.
10. Inform I.F Headquarters immediately of any emergency situation for appropriate actions by the Westfield, New York office.
11. Secure replacement host family, if necessary.
12. Conduct re-entry meetings with students several weeks prior to departure. Submit final evaluation to Westfield Office for review. Provide any news/photos of your student for publicity purposes.
